Job Profile Summary
To provide full administration support to the front office team heads. Admin support will also be required for the wider team with respect to travel and events. You are an experienced secretary/administrative assistant, flexible and adept to working in a complex and dynamic environment. You are proactive, motivated, a team player and you have a growth mindset to take on challenges. You can work independently as well as in collaboration with the team. You can effectively prioritize your work and integrate tasks. You think creatively about how to solve problems, address challenges and you have a high attention to detail. You are adept to working in have a sensitivity for cultural differences.
Job Responsibilities:
- Travel: Assist with travel requests and related activities.
- Expense management: Prepare and submit expense claims.
- Meetings: Arrange and co-ordinate internal/external meetings where required; and related logistics.
- Events: Assist in arranging and executing internal/external events, including managing & co-ordinating with internal and external service providers.
- Manage office supplies.
- Maintain Hospitality Register for Gifts and Entertainment.
- Support administrative of new joiners / transfers / leavers.
- Maintain and update internal policies and process information.
- Manage IT request and issues.
- Any ad hoc administrative and secretarial requests.
